Your application, handled with care.
Ivory Tuition Co. is operated by Julian Ng, trading as IVORY TUITION CO., ABN 63 858 539 736. Contact contact@ivorytuition.com about your application or the handling of your information.
What we collect and why
The form asks for your contact details, suburb, school completion, confirmation that you are at least 18, academic results, teaching preferences, availability, experience and the current status of required checks. It collects your résumé and academic evidence when you submit. We use this information to assess your application, contact you and, if you progress, arrange interviews, verification and onboarding.
We do not need bank details, a tax file number, passport, licence, full residential address or a Working with Children Check card image in this application. Please leave out information about other people and unrelated personal details. Referee contact details are collected later with permission. Any required financial or identity onboarding information uses a separate appropriate process.
To reduce spam and abusive uploads, we temporarily count submission attempts using a daily-changing hash of your network address. The application rate-limit record does not contain the raw address, expires after one hour and is cleared on subsequent submissions. Hosting-provider security logs may follow separate retention periods.
Who can access it
Applications and uploaded documents are available only to the configured, signed-in Ivory reviewer. Parents, other applicants and other tutors cannot browse them. Any future reviewer access must be authorised for the recruitment purpose. Review notes record the checks, decision, reviewer and time. Selection and teaching approval are human decisions; an academic result or application does not automatically qualify you for a role.
Records are stored in the website’s Cloudflare database and private file storage. Resend processes application emails. TutorCruncher receives the minimum profile details needed for an explicitly reviewed handover; application documents are not automatically transferred. These providers may process information outside Australia. We do not promise Australian-only hosting.
Emails and TutorCruncher
When real-applicant emails are enabled, a new application triggers an acknowledgement to the supplied applicant address and a notification to Ivory. Documents are not attached. The private review link requires authorised sign-in. Delivery records help us avoid duplicate messages and check failures. An email accepted by the sending service is not a guarantee that it reached an inbox.
Preview messages go only to the configured test inbox. Controlled owner messages are clearly labelled and go only to the pre-authorised owner address and Ivory. Submitting does not create an account, offer, contract or booking. A reviewer must confirm identity and choose whether to link an existing TutorCruncher profile or create a Pending profile for a real application. Invitations and approval to teach remain separate decisions. A controlled test may only link its designated existing test profile; it cannot create one.
Applying does not subscribe you to marketing. We do not add applicants to a future-opportunity list automatically. Keeping basic contact details and teaching preferences for future opportunities requires separate optional permission.
How long we keep information
- Unsuccessful applications: delete the application, supporting documents and recruitment notes six months after the decision, unless a documented reason requires longer retention.
- Withdrawn applications: delete within 30 days of a verified withdrawal request, unless a documented retention requirement applies.
- Future opportunities: where separately agreed, keep only the necessary contact details and teaching preferences for up to 12 months. This does not extend retention of your résumé or academic documents.
- Successful applicants: keep the onboarding evidence that is still needed, and delete unnecessary or duplicate recruitment uploads within 90 days after verification and onboarding are complete.
- Essential agreements and payment records: manage separately under Ivory’s seven-year schedule after the engagement ends, subject to applicable legal requirements.
Records needed for safeguarding, a legal obligation, a dispute or a documented investigation are held separately for the appropriate period and reviewed before deletion. A hold is limited to the records and purpose that require it; it does not justify keeping every application indefinitely.
Deletion covers active application records and files under Ivory’s control, with a minimal record of the deletion action. Copies in provider backups, delivery logs or properly retained onboarding systems may follow separate restrictions and retention periods. We do not promise immediate removal from every backup. We will explain any relevant limitation and take reasonable steps to prevent deleted material being restored to active use.
Your draft in this browser tab
Text answers are temporarily saved in this tab so you can go back, refresh or read this notice without starting again. File bytes and declarations are not saved in the browser draft. After a refresh you must select the files again. “Clear saved answers” removes the local draft; after successful submission the draft answers are cleared and only the receipt reference remains. Preview, controlled-test and real-intake drafts are kept separate.
Questions, corrections and deletion requests
Email contact@ivorytuition.com with your application reference to ask about access, correction, withdrawal, deletion or a privacy concern. We may reasonably verify your identity before acting. We will explain any information that must be retained and why. Please do not email identity documents unless an appropriate verification route has first been agreed.
If a privacy concern remains unresolved, you can find guidance and complaint information through the Office of the Australian Information Commissioner. The existing Ivory privacy policy covers parent and student services; this notice specifically describes recruitment.
